Email and bulletin boards

Viewing email status (sent, received, and opened/unopened)

You can view the status of email such as whether email was sent, whether new email was received, and whether recipients opened email. You can also sort or filter the senders and recipients by their organizations or by topic.

Bulletin board access-control according to tasks

Groupmax provides bulletin boards that are useful for sharing information among many users. The bulletin boards can be used in many ways such as sending information to the company or sharing information within only a specific section. The posted information is automatically deleted on the expiration date.

Maintaining the security of important email

Groupmax supports S/MIME, which is the standard Internet technology for encryption and certificate issuance. This technology protects important email from threats such as wiretapping, falsification, and impersonation. When the recipient also uses Groupmax or other email clients that support S/MIME, emails can be exchanged at a high security level.
You can easily encrypt email with only a single-click.

Electronic address book

User-friendly address book in a hierarchical structure

You can search for a recipient along the hierarchy of sections that the recipient belongs to.
The users outside the company can also use the address book, by linkage with LDAP, just as inside the company. The address book can display the position, telephone number, and other private information of each recipient.

Document management

Providing a basic environment for efficient information sharing

There are forms for specific tasks, ordinary free-form documents, and many other documents. Groupmax provides hierarchical management for efficiently managing these documents. With this management functionality, you can easily retrieve a document by specifying attributes of the document. In addition to the hierarchical management, Groupmax provides the classification functionality and classification indexing that enable you to manage documents from a logical perspective. You can select a method according to the task to quickly access the documents you need. Access management linked with user management can also be implemented. Changes to access management can easily be made even after personnel transfer.

Schedule and facility management

Displaying task schedules graphically

The personal task schedule can be displayed on a week, month, or day basis. Schedule items can be registered as events, and an alarm can be used to notify you that the due date is close. Detailed schedule management is possible with an easy entry method.

Sharing schedules among members

Members can mutually view others' schedules, and can make reservations in others' schedules. The answers to the reservations can be displayed graphically. This functionality helps coordinate the members' schedules and helps the members communicate with each other smoothly.

Conference date and time management including facility reservation

Groupmax provides information about your communication environment. You can view the reservation status of the common facilities (such as conference rooms), and equipment. With the members, conference room, date, time, and other conditions specified, Groupmax automatically checks the idle time periods common to the members. When you find a common period of idle time, you can make a reservation of the members and the facilities.

Access from cellular phones

The email, schedule management, and workflow management functions are accessible with a cellular phone. You can use your cellular phone to check the schedule and reservation status of members and facilities, and to make a reservation. You can also make a call by clicking a displayed telephone number. Groupmax provides an environment that extends beyond time and space.
Groupmax supports i-mode and EZweb cellular phones.

Operation and management

Central management of users with a graphical user interface

Groupmax displays registered users in tree and list formats that you are familiar with. Groupmax also supports drag-and-drop operation and has many useful functions for supporting user asset management.

System management load reduction

Automatic collection of system activity information
Groupmax can automatically collect system activity information for each server and function. When the system is to be expanded or moved, you can plan to provide users with a better environment based on the collected information.
Real-time system usage checks
To prevent illegal access to the system or delay of email delivery, Groupmax displays the user authentication status, email delivery status, and other information in real time. Groupmax provides a convenient environment for you to quickly take an action if an unexpected event occurs.
Virus prevention
The server conducts a virus check on the attached files of received email to prevent your computer from being infected.

An information infrastructure with high reliability for non-stop operation

Failover to the standby server in case of an emergency
System stability is one of the most important factors in an information infrastructure. Groupmax has failover functionality that substitutes the standby server for the active server to continue to provide services when an error occurs. Groupmax lets you create a robust system that can continuously provide a stable business environment.
Backup during system operation
In today's business environment where activities do not stop day or night, the interrupt time of the business system and information infrastructure must be kept to a minimum even during maintenance. With Groupmax, one maintenance task that you need not stop the system for is system backup. Groupmax can perform a system backup while the workflow management, email system, and document management system are operating.

Installation and operation cost reduction

Initial installation is possible interactively with a wizard
A wizard is provided for setting up the server program. You only have to answer the questions in the wizard to perform a setup. The wizard supports installation of a multi-server system. Since a system can be created in various configurations quickly, the installation costs can be reduced greatly.
